How to reduce no-shows in a service business

Start by calculating your own no-show rate for estimates, scheduled work, and same-day appointments. Then test the reminder cadence below against that baseline.

The 4-touch cadence

  1. T-24h SMS confirmation with a REPLY YES or RESCHEDULE path. Record confirmations and reschedules separately.
  2. T-2h "on the way" ping with the technician name and a realistic ETA window.
  3. T-15min drive-up text only when the technician is actually en route. Avoid map links that reveal unnecessary location data.
  4. T+30min recovery text if no-answer at the door: "We tried you at [time] — reply RESCHEDULE and we'll re-book."

"[Company]: [Tech] is heading your way — ETA [Window]. Reply STOP to cancel."

When to require a deposit

Consider a refundable hold for appointments that reserve substantial labor or scarce capacity. Set the amount from expected cost, disclose refund and cancellation terms, and apply the same rule consistently.

Calculate the result

Multiply scheduled appointments by your baseline no-show rate to estimate wasted visits. After the trial, repeat the calculation with the new rate and subtract messaging, software, refund, and administrative costs. Report completed-job gross profit, not just the value of appointments that were recovered.
