Call tracking for service businesses: the 4 numbers that matter

Most call-tracking dashboards drown you in vanity metrics. These four numbers actually tell you whether the phone is making or losing you money.

1. First-ring pickup rate

Choose a response window and report the share of inbound calls answered inside it. Segment by working hours and after-hours, then compare human, AI, and fallback routes using the same definition.

2. Missed-call recovery rate

Of the calls you did not pick up, count how many became qualified conversations and bookings within a defined follow-up window. Compare your own voicemail, text-back, and answering-service periods rather than borrowing a vendor benchmark.

3. Booking rate per answered call

Divide scheduled jobs by qualified answered calls. Review low results by call source, service requested, coverage type, and script step before blaming price or staff.

4. Cost per booked job

Total phone spend (line + service + tools) divided by booked jobs. Anything under $8 is excellent. Ruby-tier live answering usually clocks $22–$40/booked job for solo trades.
