Call forwarding best practices for solo service businesses

Most solo trades have call forwarding set up wrong on day one and never touch it again. Here are the six settings that decide whether the phone becomes revenue or noise.

Test the ring count

Set the primary line long enough for a person to answer but short enough for fallback to remain useful. Test the sequence from an outside phone and compare completed connections at two or three ring-window settings.

Failover order matters

A practical chain might be cell → clearly identified AI or live service → SMS fallback. Keep voicemail when customers need to leave detail, but assign an owner and response time to every endpoint.

After-hours ≠ closed

Review your own call records to see when after-hours demand occurs. Route each window to a clearly identified person, AI assistant, or message workflow, and test the handoff before a real customer needs it.

The audit checklist

Once a quarter, call your own number from a blocked line at 7am, 11am, 3pm, 8pm, and Sunday noon. Score each — anything not answered in 15 seconds is broken.
