CRM integration for answering services: what to look for

Answering service quality only matters if the call actually lands in your CRM. Here are the five integration patterns that matter and the ones that quietly break every week.

By Richmond Agyekum

Real-time vs batched

Real-time webhook (under 5s) beats hourly sync every time. If a lead sits in a queue for 30 minutes, the 5-minute-speed advantage vanishes.

Two-way sync

Answering service should read your calendar, not just push events. Otherwise you double-book on every call.

Field mapping depth

You need at minimum: caller name, phone, address, service requested, urgency, appointment slot, recording URL. Anything less is a stub.

Failure alerting

When the integration breaks (and it will), someone must know inside 10 minutes. Silent failures cost weeks.

The Jobber/Housecall/ServiceTitan reality

Jobber has the cleanest webhook API. Housecall Pro needs Zapier for anything beyond basics. ServiceTitan requires the paid API tier.
